Professional Presentation

by Derek Brown

Impression is very important in business. Sending out a professional looking newsletter shows your clients and contacts that your business is really committed to providing top quality communication.
We strongly encourage businesses to use HTML newsletters rather than PDFs. The main reason for this is that they open up straight away and are much easier to find your way around. Another reason is that you can track who reads an HTML newsletter.
Your newsletter needs to reflect your corporate look in terms of logo and colours. In this way your newsletter reinforces your corporate brand which should also be evident in your website, business cards and stationery.

Managing your mailing list

Most businesses we have worked with have found getting on top of their mailing list a big challenge. To be able to use the net the first requirement is to collect the email addresses of clients and contacts.
The next challenge is to merge all the names into one list. Then there is the issue of keeping the list up to date by deleting old addresses and adding new ones.
For all of these reasons we recommend businesses use an enewsletter system which has list management as one of its features. Such a system enables your business to consolidate your mailing list into one list, it will automatically delete wrong addresses and it will enable new names to be added automatically.
At last you will be on top of your mailing list - you will know it is up to date and accurate.

Accurate feedback

Perhaps the most exciting part of publishing an enewsletter is the ability to be able to see what happens when you send it out.
If you use a delivery system with statistical feedback you can tell how many of your newsletters are opened and which part of the newsletter attracted the most interest from your readers. This means you have an accurate idea of how effective your communication is and what areas you should focus on for the future because you know what is creating interest amongst your readers.
One other factor is that you can tell who has read your newsletter. If a person looks at it many times they may be showing interest in your product or services and you can think about other ways to follow them up and to cultivate this interest.
I can think of several occasions when I have been able to use this information to follow up a strong lead. In most cases these leads where with people I didn't know. Several of these became clients as a result.

Why not start your own enewsletter

We create a professional looking newsletter template for our subscribers and we offer an efficient list-management facility.
In addition each subscriber receives individual statistical reports on their mailout - how many are opened, by whom, how many times and what part of the newsletter received the most click-thrus.
